AI customer support: what it is, how it works, and when it pays
AI customer support means an AI agent answers your customers first, in their language, at any hour, from what you taught it about your business, and hands a person only the conversations it cannot finish. This page explains how that works in practice, what it will and will not handle, what it costs next to the alternatives, and how to tell after two weeks whether it is earning its keep. Replio is one way to run it; the mechanics below are true of any system that does the job properly.
Three things people mean by "AI customer support"
The phrase is used for products that behave very differently once a real customer types something unexpected.
| What it is called | What actually happens | What the customer experiences |
|---|---|---|
| Auto-reply or away message | One fixed message goes out to everyone | "Thanks, we will get back to you", then silence until someone is free |
| Chatbot builder | You draw a flow of buttons and branches by hand | Works until the question is not on a button, then "I didn't understand that" |
| AI support agent | An agent reads your material, writes a reply itself, escalates what it cannot answer | A real answer in seconds, or a hand-over to a person with the transcript attached |
Only the third one is AI customer support in any useful sense, and it is what this page is about. If you are comparing vendors, the buying checklist covers the questions that separate the agents that survive their third month from the ones that quietly get switched off.
How it works, step by step
- You give it your material. Replio reads your website and you upload whatever customers ask about: a price list, a menu, a delivery policy, the returns rules. You can also type rules in plain language ("we do not deliver on Fridays", "always ask for the order number first"). This becomes the knowledge base, and it is the only thing the agent answers from.
- You connect the places customers already message you. WhatsApp, Messenger and Telegram connect in a few clicks through the platforms' own login; the website widget is one line of code. Everything lands in one shared inbox.
- It writes the first reply. A customer asks "do you have the 42 in black and can I collect today?" The agent finds the product in the catalogue, checks the collection rules you set, and answers both parts in the customer's language, usually within a few seconds, at 2 a.m. or 2 p.m.
- It knows when to stop. A complaint, a refund, a question outside the knowledge base, or anyone who asks for a person: the agent says so honestly, alerts your team on WhatsApp or Telegram, and stays quiet in that thread while a person handles it.
- It gets better from the gaps. Every question it could not answer becomes a draft answer in a review queue. You approve, edit or reject it in a few seconds, and the next customer with the same question gets answered without you.
What it handles, and what it hands over
The honest version of this list is the one that decides whether automation pays for your inbox. Most support conversations for a shop, a clinic, a salon or a delivery business fall in the left column; the right column is where your team's time is actually worth something.
| Answered by the agent | Handed to a person |
|---|---|
| Prices, what is in stock, what a service includes | A complaint about a product or a visit |
| Opening hours, location, parking, how to get there | A refund, a chargeback, anything involving money going back |
| Delivery areas, times and fees | Anything the knowledge base does not cover |
| Booking an appointment from real calendar slots | Anyone who asks for a human, in any wording |
| Order and appointment status when you have told it where to look | Legal, medical or safety questions you have marked as off-limits |
| The same question in English, Arabic, French, Portuguese or Serbian | A customer who is clearly upset, even if the question itself is simple |
Two limits worth knowing before you start. The agent does not read a live external system unless it has been connected: it quotes from the catalogue and calendar inside Replio, not from a warehouse database it has never seen. And it does not promise outcomes it cannot see, so "will my colour look like this photo" gets a consultation offer, not a yes.
Where it runs
Customers do not switch apps to reach support, so the agent has to live where they already are. With Replio that is WhatsApp, Facebook Messenger, Telegram, including Telegram groups, and a chat widget on your website, with AI phone calls for the people who still prefer to ring. One inbox, one knowledge base, one set of hand-over rules across all of them.
Where Instagram stands today: answering Instagram DMs for every customer needs a permission from Meta, instagram_manage_messages, which Meta has not yet approved for Replio. You can connect your Instagram account now, and replies start for everyone once it is approved, with nothing to change on your side. WhatsApp, Messenger, Telegram and the website widget are live for all customers today.
Replio connects to WhatsApp and Messenger through Meta's official APIs as a verified Meta Tech Provider, which matters more than it sounds: unofficial WhatsApp automations run on borrowed sessions that Meta restricts without warning, and a support line that disappears mid-conversation is worse than no automation at all.
What it costs next to the alternatives
The comparison most businesses actually make is not "AI versus nothing"; it is AI versus a second hire, an outsourced desk, or simply answering late. The figures below use Replio's own published pricing and describe the alternatives without inventing numbers for them.
| Option | What you pay for | What you get at 11 p.m. on a Saturday |
|---|---|---|
| Answer it yourself | Your evenings and your attention | Whatever you can manage from your phone |
| Hire another person | A salary, for one shift, in one or two languages | Nothing outside that shift |
| Outsource the desk | A per-agent or per-ticket contract with a script | A scripted reply, often a day late on anything new |
| AI support agent (Replio) | From $49 a month, unlimited customer messages, 2 to 15 seats | The same answer the owner would give, in the customer's language, in seconds |
If you are weighing the outsourcing route specifically, AI versus outsourced customer support goes through the contract models, the knowledge-update lag and the cases where a human team still wins. The arithmetic for a slow inbox is in what AI customer service really costs.
Who it is for
Any business whose inbox repeats itself. That is most of them, but the shape differs by trade, which is why the industry pages exist: restaurants (reservations, menu questions, allergens, catering), salons and spas (bookings by stylist, prices that depend on hair length, patch tests), anyone who books appointments, and shops with a catalogue to quote from. It is also built for markets where support happens on WhatsApp first: there are dedicated guides for the United States, the UK, Nigeria, Qatar, the UAE, India and a dozen more.
It is a poor fit if your support lives in email tickets, if every conversation is a bespoke negotiation, or if you cannot write down what a correct answer looks like. An agent grounded in nothing has nothing to say.
How to tell if it is working
Give it two weeks and count two things. First, how many conversations were answered without reaching a person: if this is low, your inbox is less repetitive than it felt, and automation will not pay yet. Second, how many escalations arrived with enough context that a person could close them in one reply: if this is low, the hand-over rules need tightening, not the AI. Every conversation the agent answered or escalated is readable in the inbox, so both numbers are yours to check rather than a vendor's deflection rate to take on trust. How to answer customers 24/7 walks through setting this up from an empty inbox.
