Every tool in this category promises the same thing: fewer messages reaching your team. The difference between the ones that deliver and the ones that quietly get switched off is not the model they run on. It is a handful of unglamorous details about grounding, escalation, channels and how the bill scales. Messages are unlimited on every Replio plan, including the free one. That is deliberate: software that charges by the conversation is software you are discouraged from pointing at your busiest channel.
The integration question, answered honestly
Most buying guides in this category imply the software will slot into a large existing stack. For the businesses Replio is built for, the more useful capabilities are the ones that remove another subscription rather than sync with one: a booking calendar so the agent can offer real slots, a product catalogue so it can quote from an actual list, WhatsApp broadcasts for the follow-up, comment-to-DM so an Instagram comment becomes a conversation, and a link shortener with click tracking. On the Business plan there is API and embed access, plus an MCP endpoint so assistants like ChatGPT and Claude can query your own knowledge base. Security and access, briefly
Team accounts support two-factor authentication and passkeys, sessions are listed per device so a lost phone can be signed out on its own, and roles limit who can change settings versus who can only answer conversations. How to run a two-week evaluation
Days 1–2: build the knowledge base from your website and one price list, and put the widget on your site. Do not connect WhatsApp yet. Days 3–7: let it answer real website visitors and read every conversation, approving or rewriting the answers it proposes. This is the week that tells you whether your inbox is repetitive enough for automation to pay. Days 8–14: connect Instagram or WhatsApp, set who receives escalations, and tag conversations by topic.
